The Restaurant Administrator will act as a liaison between the Food & Beverage Department, Sales & Catering Department and all customers and all operating departments to ensure a high standard of organization and guest service for all restaurant reservations and catered promotional events.
This position assists the Food & Beverage Department to anticipate, understand and act upon all client needs. The Restaurant Administrator will produce all relevant written communications dealing with promotion material and menus. The Restaurant Administrator will coordinate and verify accuracy on all restaurant reservations dealing with but not limited to Open Table.
The Restaurant Administrator will attend all restaurant line-ups and department meetings as well as pre-event meetings and other meetings as set forth by the Director of Food & Beverage.
Restaurant Administrator provides daily support to the Food & Beverage Director and F&B Management to ensure the effective operation and execution of all il Lugano Food & Beverage events.
Restaurant Administrator maintains an efficient and courteous restaurant operation by greeting arriving customers, seating, establishing rapport and assisting with restaurant service
Answer phones and ensuring all inquiries are dealt with accurately, timely and in a professional manner (within the same business day or by 10am the next business day).
Type correspondence, reports and forms as well as prepare simple written correspondence.
Manages all promotional events in Open Table.
Formally responds to reviews on Social Media such as but not limited to Trip Advisor, Open Table, Zagat, Yelp etc…
Prepares all written and creative e-mail blasts for all Food & Beverage promotions using the Fishbowl software.
Meets arriving customers as they enter restaurant with cordial greeting. Escorts to assigned tables, issues menus and solicits rapport in order to accommodate special needs or requests.
Assigns sections and notifies servers of new seats in their section to ensure the customers receive immediate and proper attention.
Attends all BEO and Food & Beverage meetings responsible for documenting and distributing minutes.
Responsible for posting all banquet & catering invoices from Sales Pro.
Responsible for bringing market Metrix report along with customer surveys to review at Food & Beverage meeting.
Assists Food & Beverage Director with the weekly 515.
Prints and prepares all specialty menus and recipe cards for Chef's Classes and Mozzarella Classes as well as preparing the guests give-a-ways.
Assists Sales & Catering Team as a liaison within Food & Beverage on special projects, proposals and events.
Maintains timely and effective paper flow and communications within the Food & Beverage Department.
Conducts professional and positive communication to both guests and fellow employees.
Assist guests with changes and special requests, as needed.

SUPERVISORY DUTIES - None
Ability to type 60 WPM, Microsoft Office with emphasis on WordPerfect and EXCEL. Alphabetizing, grammar and punctuation. Standard business letter formats, and strong editing skills. Knowledge and understanding of Open Table and social media websites. Passion for marketing and creative marketing experience.
Excellent hearing required for telephone inquiries and client and associate handling. Excellent vision required as contracts and letters are hand written, filing, using computer. Excellent speech communication skills necessary to communicate clearly with customers and other departments. Excellent comprehension and literacy required to read manager's letters help prepare contracts and proposals.
Bending/kneeling - repeated bending and kneeling required while filing.
Mobility - must be able to reach all areas of hotel to assist clients.
High school diploma or vocational secretarial.
One to two years direct experience.
Computer, PC, t, copier, fax, phone.
Work inside 100% of 40 hours.
